General Guidelines


Terms & Conditions of Participation in the Exhibition

The participation form and book lists should be duly filled and signed by an authorized entity before the 31st of December 2017 deadline, and submitted online to the organizing committee on the following link www.bookfair.bh. 

Publishing companies are expected to showcase no less than a 100 titles. This rule is not applicable to distributors and booksellers.


Only purposeful books and audiovisual are accepted. The Exhibitor shall complete all registration requirements before the 31 December 2017 at the latest, and follow the below guidelines.

 

Price list of all approved published titles.

Forged or pirated copies will not be accepted; the exhibitor shall be subject to the decisions of the Organizing Committee in accordance with Kingdom of Bahrain’s laws and regulations, in case such forged copies are found and seized.


The allotment and location of stalls shall be distributed at the sole discretion of the organizing committee; exhibitors are not allowed to rent or transfer these stands.


Participants should undertake to ensure that no damage is done to their stand or to the exhibition hall. The cost of repairs for any damages shall be borne by participants, in accordance with the Committee regulations.
The organizing committee reserves the right to reject any participation or any audiovisual production company without giving any reasons nor bearing any responsibility towards the same.
All participants shall abide by the rules and regulations set by the Organizers without reservations of any kind. The Exhibitor Participation Forms received by the Organizing Committee shall be considered valid acceptance of above-mentioned terms and conditions.


The deadline for accepting participation is 31 December 2017.


The Organizing committee undertakes to provide a book storage during the exhibition. Books, articles and empty boxes are banned from being stored in the halls.


Microphones are strictly prohibited in the exhibition halls.

 

Direct Participation and Authorizations:

Requests of exhibitors will be prioritized on a first come-first served basis; the Organizing Committee shall not be held responsible for any delay in sending participation requests or their late arrival if early requests exceeded the allocated space for the Exhibition stands.

 

Authorization & Accreditation:

A publisher can authorize another participant as its representative at the exhibition.

Only two (2) agents are permitted for foreign companies, providing that the titles and items do not exceed 50 for each authorization at the price of 38 BD.


The Organizing Committee shall approve only the authorization valid for the current session of the book fair, in accordance with the attached form, providing all registration forms be completed.


The authorized agent cannot transfer the authorization to another agent.


The Organizing Committee may reject any authorizations without giving reasons or be held responsible for such actions.

 

Exhibition Participating Publishing companies authorized agents:

The Organizing Committee provides free entry visas to Bahrain to every agent per wing (9 square meters).


All publishing companies participating in the exhibition shall send the completed forms concerning their authorized agents before 31 December 2017.


The Organizing Committee shall bear no responsibilities for securing visa entries for those who send their passport information late.


The Organizing Committee will not be held responsible for non – issuance of visas by the concerned authorities.

 

Pricing & Selling

The minimum number of titles to be sold during the book fair is set at (10) copies for every title and the maximum is set at (50) for every title.


The Organizing Committee shall determine the prices of items sold in Bahraini Dinars (BD) through having the price inscribed on the cover or through the price indicated on the computers found in the exhibition hall.

  • A minimum discount of 25% from the published fair is obligatory.
  • Conversion rates for all major currencies shall be fixed and circulated by the Organizers.
  • All books displayed in the fair should be in Bahraini Dinars according to the currency conversion rates fixed by the Organizers. The price on the cover should tally with the price listed the book fair catalogue. (In case of contradiction, the price, which is lower, shall be applicable.)
  • Participants are expected to adhere to the rules of the fair.
  • Selling unauthorized titles is illegal.

 

Shipment method

The organizing Committee is responsible for clearing the books from customs whether by way of King Fahad Highway, or Bahrain International Airport, or by Sh Salman seaport. In addition, the Committee is responsible for transporting the books to the location of the bookfair.


All shipments should arrive before the commencement of the bookfair, at the latest by 28 February 2018.


Any books that arrive at the Fair Organizing Committee before or after this date will be fined 20 Bahraini Dinars per shipment and is to be paid by the publisher.

 

Preparation and Set up

The participating exhibitors will be handed over their stands on 25 March 2018 at 4PM, the distribution of which is at the discretion of the Organizing Committee.

 

The final day to obtain a stand will be the day before the exhibition opening.

The Committee will not be held responsible for any remaining books after the Fair.

In the case that the exhibitor wishes to build their own stand, then this must be done in coordination with the organizing committee.

 

Offenses and Penalties

The Committee reserves the right to seize any pirated books or books that are not listed or whose prices were manipulated.


Any books and audio-visual material are seized by the organizing committee are to be sent to the concerned parties in order for the necessary actions to be undertaken and the books will not be returned.
Packages and empty boxes must be stored and not left inside the stall.
In case the participant breaches any of the above-mentioned terms and conditions or any other regulations issued by the organizers during the fair, the following will be applied:

  • a warning letter will be issued for the first offense.
  • On the second offense, the stall will be closed for one day.
  • On the third offense, the stall will be closed for the remainder of the fair, and the exhibitor will not be allowed to participate, directly or indirectly, in the fair for 2 consecutive years.

In case of evident piracy, the publisher’s participation will be annulled for two consecutive years and the Bahraini authorities, as well as the Arab and International authorities will be notified of this fraudulent conduct. The publisher shall lose his right to claim any refund.

 

 

Fees & Billing

•The stand fee is Bahraini Dinars (BD) 300/- for each stand of (9 sq.m.). The stand will be equipped shelves, one table, two chairs, name board  three spotlights, plug points, a waste basket, carpeted flooring, bill books, carrying bags, price stickers and badges.

•Agency fees BD 38/- per proxy.

•Any additional visa request will be charged at BD20/- per representative.

•The fixed exchange rate of the Bahraini dinar against the US dollar is US $ 1 = 0.376 fils when a cheque or bank transfer is made.

•The invoice will be issued and sent to the applicant's email address once the Organizing Committee has approved the registration application.
